Enhance task management and ensure deadlines are met by setting up automatic reminders.
Overview
The reminder feature allows users to set up customizable email or in-app notifications for any Task within an Entity in Athennian.
Availability: All customers.
Set a Reminder for a Task
- Navigate to the Tasks section of the Entity
- Select the applicable Task which you would like to set the reminder for
- In the 1. Details tab, click on the Set Reminder button (with the bell icon) on the right-hand side on the right of the Due Date, and the Reminder modal will appear
- In the same window, configure the delivery settings:
- Notification Preference: Check the boxes to Send an email, Send a notification, or both
- Delivery Date*: Specify the initial date for the reminder to be sent [YYYY-MM-DD format]
- Repeats*: Select Does not repeat (default) or specify a frequency such as:
- Daily
- Weekly: on the weekday set in the delivery date (e.g., Weekly on Thursday)
- Annually: on the day and month set in the delivery date (e.g., Annually on October 16)
- Every weekday (Monday to Friday)
- Custom to define a specific schedule:
- Repeats Every*: Select how often the reminder repeats, e.g., every [X] Days, Weeks, Months, Years.
- If selecting Repeats Every [X] Week: an option becomes available to specify the days of the week (M, T, W, T, F, S, S) under Repeats On
- If choosing Repeats Every [X] Month(s) and the delivery date falls on the 29th, 30th, or 31st): check the box For days that don’t occur in each month, deliver the report on the last day of the month if applicable
- Ends*: Choose to end On a specific date [YYYY-MM-DD format], After [X] occurrences, or Never
- Repeats Every*: Select how often the reminder repeats, e.g., every [X] Days, Weeks, Months, Years.
- Time*: Select the time of day for the reminder to be sent, displayed in 15-minute intervals
- Timezone*: Select the appropriate timezone from the dropdown
- Priority: Click on the drop-down menu and select either Very High, High, Medium, Low, Very Low priority or None
- Select Users*: Type the name of the internal user and choose them from the dropdown list. Repeat this step to add more users.
- Message*: Add a message to be sent to users in the reminder
- Click on the blue Create reminder button to finalize the reminder
- A green banner will appear on the left-hand side of the page stating Reminder created successfully
Edit an existing Reminder within a Task
- Head to the Task Reminder you wish to edit by clicking on the Set Reminder button
- Make the necessary edits to any field
- Click on the blue Save changes button in the bottom right-hand corner to finalize the changes
- A green banner will appear on the left-hand side of the page stating Reminder created successfully
Discard an existing Reminder within a Task
- Head to the Task Reminder you wish to edit by clicking on the Set Reminder button
- Click Discard reminder (with bin icon), located at the bottom left-hand corner of the modal
- A green banner will appear on the left-hand side of the page stating Reminder deleted successfully
