Athennian is excited to announce the launch of our first version of the Global Audit Trail! This new feature provides a consolidated view of all changes made to your Entities and People details within the application.
Previously, you could only view audit trails by going into individual records, limiting your visibility to changes specifically impacting that record. The Global Audit Trail eliminates this limitation, offering a high-level overview of activity across your entire Athennian environment.
Availability: Customers on the Enterprise plan (accessible by Administrators).
Release schedule: If you're not seeing this feature in your environment yet, it will be available to you in the near future. If you have any questions, feel free to contact your CSM.
Accessing the Global Audit Trail
The Global Audit Trail is accessible to Administrators only.
- Click on your Profile Icon in the top right corner of the screen
- Select Settings from the dropdown menu
- Navigate to the Global Audit Trail section located under Application
Understanding the Global Audit Trail View
Upon entering the Global Audit Trail, you'll see a comprehensive table displaying all changes. This consolidated view helps you track what's happening in the application without needing to navigate between different records.
The table includes the following columns:
- Changed On: The date and time the change was made
- Effective Date: The date the change became effective
- Changed By: The user who made the change
- Type: The type of record affected (e.g., Entity, Person, Affiliation)
- Record Details: Information about the specific record where the change occurred
- Tags: Any relevant tags associated with the change
How to Use the Global Audit Trail
The Global Audit Trail provides a clear picture of:
- The change that was made
- Who made that change
- Where in the system the change was made (e.g., Principal Affiliation section, Address section of an Entity)
- In what record the change took place (e.g., an affiliation of another record or the sole record itself)
Example: If a user removed a middle name from "James Cooper", the Record Details section would clearly indicate "James Reid" as the new name, making it easy to track and remember the modification. Similarly, if an affiliation was added to an entity, you'd see details like "Update to the principal affiliation section in the entity: Global Records Corp. Added Our Electronics Limited as a direct entity."
Filtering and Searching
The Global Audit Trail offers robust filtering and searching capabilities to help you quickly find the information you need.
Filtering
You can apply various filters to narrow down your results:
- Changed On date range
- Effective Date date range
- Changed By user
- Type of record
- Record Details
- Tags
To apply filters:
- Click on the Filter icon
- Select your desired criteria from the dropdown menus
- Click Apply
Searching
You can search across all the details displayed in the table.
Saving Filters
For frequently used searches, you can save your custom filters:
- Apply your desired filters
- Click the + Save Filter button
- Name your filter and click Save
Saved filters can be easily accessed and toggled on whenever you need them, streamlining your auditing process.
Future Enhancements
We are continuously working to enhance the Global Audit Trail. Future plans include:
- Incorporating Access details into the Global Audit Trail section, providing a consolidated view of who has accessed the application and API activity
- Adding more detailed information to further enrich your audit insights
