Manage Custom Task Statuses

Enhance your team's workflow and gain granular visibility into project progress by creating and applying custom Task statuses.

Overview

Athennian allows Admins to move beyond basic task tracking by defining unique statuses that reflect internal processes. Whether a task is "With Finance", "Blocked", or "In Review", these custom labels provide high-level clarity across the Tasks dashboard and within individual Entities.

Availability: Customers on the Professional and Enterprise plans.


Configure Custom Task Statuses

Administrators can define the available status options for the entire team from the settings menu.

  1. Navigate to the Tasks page or the Tasks tab within a specific Entity

  2. Select the Task settings dropdown button located above the Task list

  3. Click Manage task statuses

  4. In the Manage task statuses modal, click + Add status

  5. Enter the desired name in the Label field (e.g., "With Treasury" or "Blocked")

    • Note: The label has a 50-character limit

  6. Choose a specific Hex Code or Color from the picker to represent the status

  7. The Preview will display how the label will appear

  8. Click Save to add the status to the global dropdown menu


Apply Statuses to Tasks

Once statuses are configured, team members can assign them to stay organized during day-to-day operations.

  1. Open an existing Task or click + New

  2. Locate the Status dropdown menu within the Task details at the top right corner

  3. Select the appropriate custom Status from the list

    • Note: The statuses appear in alphabetical order in the dropdown

  4. Add specific details in the Description field if further context is required (e.g., why a task is "Blocked")

  5. Close the Task to see the updated colour-coded label on the Task card


Report on Task Statuses

Surface custom status data in reports to analyze bottlenecks and team productivity.

  1. Navigate to the Reports section

  2. Select a Task-based report or create a New Report

  3. Select any applicable filters and click Apply filters

  4. Click Edit Columns

  5. Search for and select Task Status and Task Memo Description

  6. Run the Report to view a list of all Tasks categorized by their assigned custom statuses

  7. Export the data if necessary for internal stakeholder reviews
