Automate the distribution of key data by scheduling Custom Reports to be delivered via email to both internal Athennian users and external recipients on a recurring basis.

Overview

The Scheduled Reports feature enhances the functionality of Custom Reports by allowing users to configure a delivery schedule. Set up reports, such as monthly compliance summaries or new entity lists, to be automatically generated and emailed as a CSV or Excel attachment. This ensures that stakeholders receive timely updates without manual intervention.

Availability: Customers on the Professional and Enterprise plans.

Important: Only users with the Office-Admin or Administrator role can schedule Reports.


Schedule a Report

  1. Navigate to the Reports section
  2. Select a saved report from the list on the left panel or create one
  3. Click Run Report to generate the data
  4. Once the results are returned, click the Schedule Report button on the left side of Run Report
  5. In the Scheduled Report window, configure the delivery settings:
    • Delivery Date: Set the first date for the report to be sent
    • Repeats: Choose a frequency such as Weekly, or select Custom to define a specific cadence (e.g., every 1 month on the 15th day)
    • Time / Timezone: Select the appropriate time and timezone from the dropdowns
    • Expires: Set an end date for the recurring schedule
    • Delivery Time: Specify the time of day and the time zone for the email delivery
    • Attach report as: Select either Excel sheet or CSV
    • Select Users: Type the name of the internal user and choose them from the dropdown list. Repeat this step to add more users.
    • Add External Recipients: Enter the full email address of the external recipient and press Enter. Repeat this step to add additional external recipients.
    • Email Subject: Enter the subject line for the email notification
    • Email body: Add an optional message for the body of the email
  6. Click Schedule Report to save the configuration

Manage a Scheduled Report

After a report is scheduled, a Scheduled tag appears next to its name in the report list, and the Schedule Report button changes to Edit Schedule.

Edit a Schedule

  1. Select the scheduled report from the list
  2. Click the Edit Schedule button at the top of the page
  3. Alternatively, click the three-dot menu to the right of the report name and select Edit Schedule
  4. Make the required changes in the Edit Schedule window
  5. Click Save Changes

Cancel a Schedule

  1. Select the scheduled report from the list
  2. Click the Edit Schedule button
  3. Click Discard Schedule at the bottom left of the window
  4. Confirm the action to permanently remove the delivery schedule
