Monitor and manage Companies House filing submissions efficiently by leveraging automatic polling and real-time status updates within the platform.

Overview

This article explains the automated polling logic used to track Companies House filings, how to interpret the final results of a submission, and where to locate filing notifications.

Availability: Customers with the Companies House E-File integration.


Understand Automatic Status Polling

  • Filing is submitted — After clicking the filing button, Athennian sends the submission to Companies House. The order is created with a Pending status.
  • Polling begins after 10 seconds — The system schedules the first status check 10 seconds after submission.
  • Exponential backoff — If the filing is still pending, the system keeps checking but gradually increases the wait time between checks.

Identify Final Filing Outcomes

Review the final status of a filing to determine if the submission was successful or requires further action.

  • Accepted — The filing is marked as Completed. Athennian automatically sends an in-app notification to the user who initialized the filing.

  • Rejected — The filing is marked as Exception. A notification containing the specific rejection details is sent to the user who initialized the filing.

  • 7-day Timeout — If Companies House does not provide a response within 7 days, the filing is automatically marked as Exception to prevent the order from remaining Pending indefinitely.


Review Filing Notifications

Access real-time updates regarding the success or failure of a Companies House submission through the platform's notification center.

  1. Click the Bell Icon in the top-right corner

  2. Select Notifications

  3. Navigate to the Activity tab

  4. Locate the filing update labeled as an Alert to view the specific outcome or rejection reason

Refresh Pending Orders Manually

Trigger an immediate status check for a specific filing if a result is required before the next scheduled automatic poll.

  1. Navigate to Settings

  2. Select E-File Orders to open the e-file order table

  3. Locate the specific Companies House order with a Pending status

  4. Click the Refresh button located next to the order

  5. Observe the updated status or wait 5 minutes to attempt another manual refresh if the system throttle is active
