Enhance your registration data accuracy and automate manual entry by using AI to extract information from business licenses, certificates or other registration documents.
Overview
The AI in Sections feature for Registrations allows users to upload documents—such as trademark certificates, business licenses, or foreign qualifications—directly into an Entity. Athennian uses AI to identify the registration type, name, jurisdiction, number, and date, allowing for a seamless review and filing process.
Availability: Customers who have purchased the Athennian AI add-on. Contact your CSM if you're interested in using this feature.
Important: This functionality is available only to users granted access to Athennian AI.
1. Upload a Document with AI in Registrations
- Navigate to the entity that needs a document uploaded
- Click on General and select Registrations
- Click the Upload with AI button in the top right corner of the screen
- In the Upload files modal, drag and drop up to 100 files or choose Upload from device
- Select the document(s) from your computer to upload
- Click the blue Confirm button in the bottom right corner
2. Review and File Changes
- Navigate to the top of the Registrations screen
- Click on the Registrations pending review dropdown
- Select any uploaded document to open the Registrations Review modal. You will see two tabs on the right: Details and Registrations.
- Under the Details tab:
- Review the mandatory Document Name* and make any necessary changes. Check and update the Effective date, Description, and Notes.
- In Profile Details, verify the correct Entity profile and choose either Minutebook or Documents as the storage option for the document
- Under the Registrations tab:
- The system displays Registrations detected in your document. Review and mark profiles as "Approved". Those selected will be updated when filing.
- For each registration, click their dropdown. If the registration's profile already exists, click the "Link" icon on the right of its name to select the existing profile in the Select registration modal. If not, click the + Add registration button to create a new profile and then Confirm.
- Review and update Registration Type*, Country*, Region, Registration Date, and Registration Number as needed
- To approve or decline the Registration, click the yellow "For Review" flag icon and choose either the green "Approved" or red "Declined" icon
- Alternatively, use the Approve all or Decline all buttons at the top right of the modal. Make sure all principals are either "Approved" or "Declined".
- When finished, click the blue File button. A green message will confirm the filing was successful, and the document has been filed in the entity's Minute Book or Documents, per previous information
3. Review the Updated Registrations Tab and Documents/Minute Book
Confirm the new records appear in the Registrations tab
Verify the pending state is cleared once all documents are reviewed
Check the Documents section to see the uploaded source file successfully attached to the Entity
Review the Minute Book to ensure the new registration records are reflected in the digital record
