Storing media assets alongside traditional corporate documents ensures all critical records remain centralized within the entity profile. This feature enables secure tracking of video data while maintaining standard folder organization and administrative control.
Overview
The video upload feature allows adding media files to an entity's Minute Book layout. Uploaded assets can be categorized into existing folders, updated with custom metadata, or extracted for external viewing.
Availability: All customers with access to the Minute Book module.
Supported Video Formats and Limitations
Upload files in MP4, MOV, or WMV formats
Limit uploads to one (1) video file at a time
Keep file sizes at 0.75 GB (768 MB) or less per video
Upload a Video
Navigate to the desired entity and click on the Minute Book section
Click the blue + New button located in the top middle of the screen
Select Upload Video from the dropdown options
Configure the Effective date within the upload modal using the current date or a previous date
Click Select from device to browse local files or drag and drop the file into the designated area
Click Submit to initiate the file upload process
Verify the completion via the success notification in the bottom left of the screen
Locate the finished file within the left panel of the screen
Manage Uploaded Videos
Click the three dots (...) icon next to the video title and date in the left panel
Select Edit to update the Name, Effective Date, Description, or Notes and click Save
Select Move to choose a new destination folder and click Move here
Select Download to extract the file to a local machine
Select Manage Visibility to adjust access permissions for the file
Select Delete and type "Delete" to remove the file from the record permanently
Video Functionality Restrictions
Direct in-app playback or file preview is unavailable within the platform interface
Video files must be downloaded to a local machine for playback on a preferred media player
Video files are automatically included within complete Minute Book exports when downloading as a ZIP file
Video files are excluded entirely when exporting the Virtual Minute Book as a PDF file
Unsupported file types trigger an immediate system error message
Additional Important Notes / Tips
Note:
If a newly uploaded video does not appear in the left panel immediately, refresh the browser page to update the database view
Deletion of a video file is a permanent action, and the asset cannot be retrieved once confirmed
