Enhance document management within the Minute Book by utilizing additional date fields and custom tags to categorize and track file statuses.

Athennian has expanded the data fields available for documents stored in the Minute Book to provide greater flexibility for team workflows. Users can now record an additional document date alongside the standard effective date and apply custom tags to track document states such as signature status or internal project markers. These fields can be surfaced and filtered within the Minute Book interface to streamline document oversight and organization.

Update Document Dates and Tags
Navigate to the Minute Book section of an Entity
Identify the document to be updated from the list or folder structure
Click the Edit button located next to the document name to open the data fields
Enter a date in the Document Date field to reference a specific point in time separate from the Effective Date
Input custom values into the Tags field, such as Penciled, Fund, In progress, or Out for signature
Click the blue Save button to apply the metadata to the document
Surface and Filter Document Data
Observe the Table of Contents located on the right side of the page to view applied Tags and the Effective Date displayed beneath the document title
Click the column or filter settings within the Table of Contents to surface the Document Date if it is not visible by default
Toggle between the Effective Date and the Document Date to change the primary date view for the team
Use the sorting tools to arrange documents by either the Document Date or the Effective Date to streamline the review process
Additional Important Notes / Tips
Note: The Document Date is a separate field from the Document Effective Date; removing the Effective Date will immediately update the document's metadata display in the Minute Book
Note: Custom tags are flexible and can be created to match any internal team terminology or specific workflow requirements
Note: Changes made to document dates and tags are reflected in the Table of Contents UI, allowing the UI to match the organization of the left-hand navigation menu
