Centralize corporate records and maintain compliance by uploading documents directly into the digital Minute Book. Storing files inside designated headers provides easy access to corporate records from any location and ensures that the legal entity's history is securely organized and readily retrievable.

Overview

Athennian provides two methods for adding documents to the Minute Book. The first method moves a file that is already located within the Documents section of an entity record, and the second method uploads a file directly from a local computer database.

Availability: All customers with access to the Minute Book module.


Move an Existing Document to the Minute Book

  1. Navigate to the desired entity record

  2. Go to the Documents section

  3. Check the box on the left-hand side next to the specific documents designated to move

  4. Click the Action button at the top to open the dropdown menu

  5. Select Move from the dropdown options

  6. Select Minute Book inside the Select Location modal

  7. Choose the destination folder from the dropdown menu or click New Folder, enter a name, and click Create

  8. Click the Move Here button once the destination folder is finalized

  9. Adjust the date within the Set Effective Date modal or leave it as the current date

  10. Finalize the date selection modal to successfully move the document into the Minute Book


Upload a Document from Your Computer

  1. Navigate to the desired entity and open the Minute Book section

  2. Select the destination folder from the layout structure where the new document will be stored

  3. Click the blue + New button located in the top middle of the screen

  4. Select the Upload File option to open the upload modal

  5. Configure the effective date for the document using the calendar tool within the modal

  6. Click Upload from device or Choose Files to select the local files for upload

  7. Choose whether to restrict access or enable access to Athennian Intelligence using the provided options

  8. Click the Submit button at the bottom right corner to complete the upload


Upload a Document with AI

Availability: Customers with the AI Core add-on. Only users with AI Access can use this feature.

  1. Navigate to the desired entity and open the Minute Book section

  2. Click the blue + New button located in the top middle of the screen

  3. Select the Upload with AI option to open the Upload Files modal

  4. Click Upload from device to select the local files for upload

  5. Choose whether to Include principal updates and/or Include registration updates by checking the boxes next to them

  6. Click the Confirm button at the bottom right corner to complete the upload

  7. You will be taken to the Athennian AI: Centralize section where you will find your file. Click on it and the Document Review section will open where you may make any changes as necessary


Additional Important Notes / Tips

Note: 

  • The system supports file uploads up to 100MB per file by default

  • Up to 200 files can be selected and uploaded simultaneously from a local device
